Product-Specific Terms

1. Nature of the Service

PolaParla Broadcast is a monthly self-service SaaS product. The Customer signs in using administrator and user credentials supplied by PolaVuo, independently creates sessions and distributes room access to participants. The Service converts source speech into text and, at the user's option, synthetic speech. It is not a certified interpretation service or a replacement for a human interpreter where verified accuracy is required. PolaVuo performs the Service professionally and with due care but does not guarantee perfectly accurate, complete or latency-free output.

2. Limitations of AI interpretation

Output may contain incorrect wording, omissions, mistranslations, loss of context, inaccurate names or terminology, inappropriate expressions or delay. Unclear or material information must be verified against the original speech, the speaker or the event organiser.

3. Quality dependencies

Quality may be affected by source-audio quality, background noise, overlapping speech, microphone distance, speaking speed, dialect, pronunciation, specialist terms, names, idioms, connectivity, browser and device. The Customer supplies agreed glossaries and names in advance and ensures adequate source audio.

4. Permitted use

The Service may be used for the Customer's activities during an active subscription and within the selected plan. The Customer ensures lawful and careful use in accordance with instructions and maintains an appropriate fallback for critical communications.

5. Prohibited and high-risk uses

The Service must not be the sole or authoritative source for emergency or safety instructions, medical, legal or financial advice or decisions, official proceedings, legally binding communication, recruitment or employment decisions, or any use where an error could cause personal injury, material financial loss, loss of rights or a significant safety risk. Such use requires a separate written agreement, appropriate validation and, where necessary, a human interpreter or other safeguard.

6. User credentials, room codes and plan limits

Customer administrator and user credentials are confidential and personal and may not be disclosed outside the Customer's organisation unless the plan expressly permits a shared service account. The Customer independently creates and manages rooms and distributes participant links, QR codes or room codes. PolaVuo may restrict access if plan limits for users, sessions or capacity are exceeded or credentials are suspected to be compromised.

7. AI transparency

The interpretation view clearly states that text and speech are AI-generated. The Customer must not remove, obscure or circumvent the AI notice or any provenance or transparency marking. Because the Customer starts sessions independently, it must include equivalent information in communications to speakers and participants.

8. No content retention or model training

Source audio, transient transcripts and translations pass through the Service components only for live processing and delivery. Content is not written to persistent storage or retained after the session. Neither PolaVuo nor its subprocessors use content for model training, fine-tuning, evaluation datasets or their own purposes.

9. Availability and dependencies

The continuing SaaS Service depends on internet connectivity, browsers, devices, cloud infrastructure and speech recognition, language, translation and speech synthesis services and may be subject to updates and maintenance interruptions. PolaVuo carefully selects subprocessors and contractually requires non-retention and no training use. An external failure does not remove PolaVuo's agreed duty of care, but PolaVuo is not liable for failures beyond its reasonable control.

10. Device and listening safety

The user is responsible for their device, browser, connection and headphones. Volume must be set to a safe level before listening. Locking the device, backgrounding the browser, power saving or incoming calls may interrupt playback.

11. Incident handling

An end user reports issues to the session organiser, and the Customer administrator reports Service incidents through the agreed support channel. The user may need to return to the interpretation page, rejoin the room, switch network or browser and check audio settings. Critical messages must also be delivered through a method independent of the Service.

12. Relationship to other terms

These Terms apply with the Order Confirmation, B2B Sales and Service Terms, End-User Terms and DPA. They prevail on the technical nature of Broadcast, AI interpretation and permitted use.
